CoverManager is on a mission to relieve restaurant and nightlife managers from the chaos and overwhelm of reservation and booking management. Its platform provides customers with centralized control and data tracking, giving them confidence and control in an unpredictable industry.
CoverManager’s platform provides comprehensive oversight over reservations and bookings, customer loyalty programs, waitlists, and customer behavior data. Users rely on CoverManager to reduce no-shows, improve occupancy rates, and gain more information to support a better customer experience.
Since first launching in 2015, CoverManager now manages over 22 million reservations a month for over 17,000 establishments globally, including over 409 Michelin-starred restaurants. More impressively, CoverManager has achieved all this success as a bootstrapped startup without any significant venture or angel investment capital.
“We store a lot of data,” explains Carlos Pérez Fernández, one of CoverManager’s founders and CTO. “So our main challenge has been how to get the most important information from our data lake to our customers. Separating what data is useful and what isn’t has been a challenge because we’ve grown so quickly.”
CoverManager needed a way to scale its infrastructure to keep up with the growth of its business and data management demands. Its ambition also introduced concerns about resiliency, how its systems handled peak loads when its customers were busiest and how the platform could recover from cyber attacks.
At the time, CoverManager didn’t have internal expertise in cloud security and data management. Its internal DevOps team needed support to tackle these issues alongside other demands.
Additionally, CoverManager needed to develop a solid foundation in its cloud infrastructure to grow and expand internationally without significantly threatening its infrastructure and systems.
CoverManager was introduced to DoiT in 2022 to help not only with its growing need to store customer data but also the best way to manage it efficiently.
CoverManager was built using AWS. “We started with AWS using on-demand instances, because we needed the flexibility that reflected how our customers operate, such as restaurants that are much busier on weekends than they are early in the week. However, we’re not experts in the latest tech and tools for cloud data management. When we started working with DoiT, they helped us understand what tools we can use to process our data,” says Carlos.
From the outset, DoiT and CoverManager’s partnership focused on transitioning to a microservices architecture to manage data efficiently and securely. As part of their cloud governance approach, the teams implemented cost optimization and visibility tools using DoiT Cloud Intelligence. CoverManager leveraged features like Flexsave for Compute, which automatically identified and applied the most cost-effective compute pricing options, helping reduce spend without manual effort.
They also adopted DoiT’s centralized dashboards, which gave the CoverManager team a unified view of infrastructure costs and usage across their multiple AWS accounts, including region-specific environments like Germany and France. This enhanced visibility empowered CoverManager to monitor trends, track efficiency, and stay aligned with its rapid international expansion plans. Weekly check-ins and bi-monthly strategy meetings further supported proactive planning and continuous improvement.
“I remember from the beginning,” says Carlos, “I was asked, ‘Show me how your infrastructure works and how we can help, what do you need in the next month, the next year, and what expertise do you need?’ They asked us to explain the business and they’d tell us how they can help us.”
DoiT worked with CoverManager to understand its business intent and recognized that CoverManager needed help developing cloud management strategy to prevent a significant rise in costs as new customers joined its platform. To that end, CoverManager began using DoiT Flexsave for Compute to lower its costs.
More recently as part of DoiT’s partnership, teams from each company have weekly check-ins and bi-monthly strategy meetings to set milestone goals and conduct retrospectives.
One of CoverManager’s most significant outcomes has been its ability to guarantee uptime and stability throughout the week, especially during peak volume times.
DoiT helped the CoverManager team to better understand how to scale and structure its business and learn good practices that support its growth in areas of cloud governance, infrastructure planning, and team management. “We have learned a lot of things from DoiT. They showed us how big companies solve different issues, even when we were still a small company. I have asked the people at DoiT about a lot of things, and it’s been a big help for the company, and for me as a founder.”
Another benefit that Carlos mentions is DoiT’s dashboard management, which centralizes his view across different markets. “We have different [AWS] accounts for different countries, such as one for Germany and one for France. With DoiT, though, I can log into just one account and see spending and usage everywhere.”
Through Flexsave for Compute, DoiT has helped CoverManager achieve up to 20% savings compared to the on-demand pricing they were previously using, with a noticeable impact after just one month.
CoverManager, in the two years it has worked with DoiT, reports significantly fewer one-off support tickets and emergencies. With a better-designed system, its internal teams have been able to focus on research and development and less on firefighting and maintenance.
CoverManager is focusing on expanding to new markets. Its growth plans focus on developing its customer base in Latin America and further expanding in EMEA. As part of this, the company is distributing and expanding its cloud infrastructure in the Americas to improve response times and enhance the user experience in those regions.
